These Terms describe use of phoenixautodispatch.com and the customer-coordination services provided under the Phoenix Auto Dispatch brand by Phoenix Dispatch LLC ("Phoenix"). They are intended to explain the website-level relationship and current operating standards.
If you proceed with a shipment, separate written booking terms, authorized brokerage terms, assigned-carrier documents, insurance documents and the carrier Bill of Lading may also apply. Those shipment-specific documents govern their respective services and obligations if they differ from a general website description.
1. Quote Requests and Website Use
Submitting the website quote form provides information for shipment review. A quote request does not by itself create a motor-carrier booking, guarantee carrier availability, charge a payment, or guarantee pickup/delivery dates.
Quotes and planning information depend on the vehicle, condition, dimensions, origin/destination, access, service type, timing, current carrier capacity and other shipment-specific facts. Material changes may require revised planning or pricing.
2. Shipment Coordination and Brokerage
If you authorize the shipment, Phoenix coordinates the work order into an authorized brokerage relationship. The brokerage/carrier-assignment process is used to identify and contract an independent authorized motor carrier whose equipment, route capability and available capacity fit the shipment.
Phoenix may assist with customer communication, shipment details, status requests and issue coordination, but the assigned carrier physically controls and performs the transportation.
3. Carrier Assignment Standards
Through the brokerage/carrier-assignment process, carrier identity/authority, insurance documentation, available service/profile history, equipment fit, route capability and capacity are reviewed. No screening process can guarantee future performance, and carrier availability can change.
Customers may request assigned-carrier information before pickup. Any material change to the vehicle, condition, route, access or timing should be reported before pickup.
4. Booking and Payment Terms
Phoenix does not currently publish one universal deposit amount, payment method or balance-due rule. If payment or deposit terms apply to a shipment, they should be disclosed before the customer authorizes the order. Do not rely on an older website statement if it differs from the current written booking terms.
5. Cancellation and Refunds
Phoenix’s current policy is that cancellation requests received at least 24 hours before the scheduled shipping date may qualify for a refund. The written booking terms and any brokerage/carrier commitments or charges already made for the shipment can affect the final amount. Customers should submit cancellation requests as early as possible and retain written confirmation.
6. Pickup, Delivery and Timing
Unless a written shipment-specific agreement expressly says otherwise, pickup and delivery dates/times are estimates. Weather, traffic, commercial-vehicle inspections, equipment issues, carrier route sequencing, legal driving limits, access restrictions and other operating conditions can change timing.
Large transport equipment may require a nearby safe/legal meeting point when residential streets, gated communities, campuses, military installations or other locations cannot accommodate the carrier.
7. Vehicle Condition and Inspection
The customer or authorized representative should review the vehicle condition at pickup and delivery and review the carrier’s Bill of Lading/condition report before signing. Photos taken near pickup and delivery can be important records. Vehicle modifications, inoperable condition, unusual dimensions or special loading needs should be disclosed before carrier assignment.
8. Carrier Cargo Coverage and Claims
Cargo coverage is provided by the independent motor carrier physically transporting the vehicle. The assigned carrier’s actual policy, limits, exclusions and shipment documents govern coverage.
Carrier limits vary. Smaller/local haulers in Phoenix’s current network may carry cargo limits around $100,000. For long-haul assignments Phoenix generally seeks carrier cargo limits of at least $250,000. Enclosed/specialty carriers may carry $500,000 or higher limits. These figures describe current assignment practices and are not a universal insurance guarantee.
If damage is alleged, preserve pickup/delivery photos and documents, note concerns on the carrier inspection/Bill of Lading when appropriate, and notify the carrier and Phoenix promptly. Phoenix can assist with communication and records but does not replace the carrier’s insurer or promise payment of a cargo claim.
9. Tracking and Status Updates
Phoenix requests shipment-location/status information from the assigned carrier. When the carrier provides GPS or live tracking access, it may be shared with the customer. Some carriers do not provide live GPS and instead provide periodic status updates by phone, text or dispatch communication.
10. Customer Support
Normal customer-support hours are Monday–Friday, 8:00 AM–4:00 PM Pacific Time. After-hours assistance may be available for active shipments when needed. Phoenix does not represent this as a continuously staffed 24/7 service.
11. Military and Student Savings
Military and student savings may be available. Eligibility and the amount of any savings are confirmed before booking. Phoenix does not currently publish a guaranteed dollar amount because deposit/payment terms may vary by shipment.
12. Personal Property and Prohibited Items
Do not place illegal, hazardous or prohibited materials in a vehicle. Rules for personal items vary by broker/carrier and may be restricted by weight, insurance or carrier policy. Confirm the assigned carrier’s written rules before placing personal property in the vehicle.
13. Website Content and Third-Party Resources
Planning guides, route distances, transit ranges and other website content are informational and are not substitutes for shipment-specific written terms. External resources and third-party websites are controlled by their respective operators.
14. Changes and Applicable Terms
Phoenix may update these website Terms as the business workflow changes. Applicable law and the written shipment-specific agreements govern the legal relationship for an authorized shipment. If a website statement conflicts with the current written brokerage/carrier/booking documents, those shipment-specific documents govern their respective services.
